EVA Privacy Policy
Effective: (set this to the date you publish it) · Version: 1.0 (trial) Contact: support@evaalert.com
EVA ("Emergency Vehicle App") warns drivers that an emergency vehicle is approaching. This policy explains what EVA collects, why, how long it is kept, and what you can do about it.
EVA is in a limited trial. It is operated by one person, for a small number of volunteers in one town. This policy is written plainly and deliberately errs toward telling you more than it has to.
1. The most important thing: there are two kinds of user
Almost everyone using EVA is an AUDIENCE member. If you signed up as a resident, you are an audience member. Read the audience column.
| Audience — you, if you are a resident | Actor — an emergency vehicle | |
|---|---|---|
| Who | Members of the public who volunteered | Fire, police and EMS vehicles, operated by the department |
| What EVA does | Warns you when an emergency vehicle is approaching | Broadcasts its position so others can be warned |
| How often your phone reports its location | Every 250 metres travelled, or every 2 minutes, whichever comes first | Continuously while on a call |
| Is that location kept? | No — not unless an emergency vehicle is actually nearby. See §3 | Yes, while on duty |
You are not tracked continuously. An audience phone reports its position roughly every two minutes when you are still, and every 250 metres when you are moving. It does not stream your location.
2. What we collect
2.1 From every audience member
| Data | Why |
|---|---|
| Position (latitude, longitude), speed, direction of travel, altitude | To work out whether an approaching emergency vehicle is a risk to you |
| Age of the GPS fix | So EVA can tell a fresh position from a stale one and avoid warning you based on where you used to be |
| A random device identifier | To tell your phone apart from other phones. It is not your name, your phone number, or an advertising ID |
| Which version of the app you are running | So a fault report can be matched to a build |
EVA does not collect your contacts, your photos, your microphone audio, your browsing, or any advertising identifier. EVA contains no advertising and no third-party analytics or tracking.
2.2 When you sign up
Name, email address and/or phone number, and anything you type in the notes box.
These are stored separately from location data and are never written into EVA's operational logs. The signup record contains only your trial code and whether you supplied an email or a phone — not the values. Your contact details are used to send you the app invitation and to reach you about the trial.
2.3 What EVA does NOT do
- EVA never shows your location to another EVA user. Emergency vehicles are shown to you; you are not shown to them, or to anyone else.
- EVA does not sell, rent or licence your personal information to anyone, and there is nobody to sell it to — there are no advertisers and no data partners.
- EVA never sends an emergency vehicle your coordinates. A driver is told a direction of approach, never a position.
3. When your location is SAVED — the part that matters most
There is a difference between your phone reporting a position and EVA storing it.
At go-live, an audience position is stored only when an emergency vehicle is active nearby. If no emergency vehicle is operating in your area, your reported position is used to answer "is anyone in danger?", and is then discarded rather than written down.
When an emergency vehicle is active near you and you are inside the area it may affect:
- your phone switches to reporting more often, so the warning can be timed properly, and
- those positions are recorded, so that the incident can be reviewed afterwards to check EVA warned the right people at the right time.
That recording is what makes EVA safe to improve. Without it there is no way to tell whether a warning was correct, early enough, or sent to the wrong person.
3.1 During the current trial phase — please read this
TRIAL CLAUSE. EVA is under active development. During the trial, and for as long as EVA is being tuned and diagnosed, audience positions may be recorded more often and more broadly than §3 describes — including when no emergency vehicle is nearby.
This is deliberate. Diagnosing why a warning did or did not fire frequently requires seeing what every device reported, not only the ones that were warned.
We may also need to increase how often your phone reports its position, and how much of that is stored, as EVA matures. We will not narrow this policy to make such a change fit: if the change is material, we will tell trial participants before it takes effect.
If you are not comfortable with this, do not join the trial, or withdraw at any time under §6.
As of this version, the broader recording described in this clause is in effect.
4. How long it is kept
| Data | Retention |
|---|---|
| Audience positions and alert records | Held in EVA's operational database for the duration of the trial, so warnings can be reviewed and improved. Deleted with your account on request (§6) |
| Your signup details (name, email, phone) | Until you ask us to remove them, or the trial ends |
| Encrypted backups | Up to 14 days for accounts, 7 days for the operational database, after which they are deleted automatically |
There is no automatic expiry of operational data during the trial, because the trial's purpose is to measure whether EVA works. When EVA moves beyond a trial, a defined retention period will be set and published here.
5. Who can see it
- The operator of EVA — one named individual, reachable at support@evaalert.com.
- Nobody else. There are no employees, no contractors, no analytics providers and no advertisers.
Two external services are involved and neither receives your personal information:
| Service | What it gets |
|---|---|
| OpenStreetMap-based routing (OSRM), mostly on a private server we operate | Road queries — coordinates on a map. No identifier, no name, nothing linking a query to you |
| Resend, for email | Your email address, only when we email you |
We will disclose information if the law requires it, or where it is necessary to protect someone's safety. If that happens and we are permitted to tell you, we will.
6. Your choices and your rights
You can:
- Turn EVA off. Closing the app or revoking location permission stops all collection immediately.
- Withdraw from the trial at any time, for any reason, without explaining why.
- Ask what we hold about you, and we will tell you.
- Ask us to delete everything. Email support@evaalert.com. We will remove your signup record and your device's data, and confirm when it is done.
There is no penalty for leaving and no need to give a reason. You volunteered for a trial; you can stop volunteering.
Location permission. EVA needs location access to work at all — an app that cannot tell where you are cannot tell whether a vehicle is heading toward you. If you deny it, EVA cannot warn you.
7. Children
EVA is not intended for anyone under 18 and we do not knowingly collect information from children. If you believe a child has signed up, email support@evaalert.com and we will delete the record.
8. Security
- Backups are encrypted (AES-256-GCM) before they leave the server.
- All traffic between your phone and EVA is over HTTPS/TLS.
- Device credentials are random tokens, not passwords you chose and might reuse.
- Personal details are deliberately kept out of operational logs, which are the files read most often during debugging.
No system is perfectly secure, and EVA is run by one person rather than a security team. We tell you this rather than implying otherwise. If EVA suffers a breach affecting your data, we will tell affected participants directly.
9. Where your data is held
On a server in the United States, and in encrypted backups held by the operator. EVA is offered only in the United States during the trial.
10. Changes
If we change this policy in a way that materially affects you — particularly anything in §3 — we will tell trial participants before the change takes effect, not afterwards. Lesser changes will be posted here with an updated version number.
